Prepare a small, trustworthy source
Use one data record per label. A table can contain code, name and note columns, but your own headers are fine: choose their mappings after import. Start with the sample CSV or paste cells from Excel including the header row. Export XLSX as UTF-8 CSV first. This version accepts up to 100 records and 20 columns in 500 KB, with comma, semicolon or tab delimiters.
Preserve IDs exactly
Set identifier columns to text in your source spreadsheet before exporting. 000123 and 123 are different values. The label tool does not convert IDs to numbers, trim spaces or execute formulas. It cannot recover leading zeros already removed in the spreadsheet. Repeated identifiers are retained as intentional repeated labels; review the source for accidental duplicates yourself.
Choose a code for your scanner
Use Code 128 for short printable-ASCII internal IDs such as ASSET-001. Use QR for Unicode text or a static URL. Names and notes can contain Unicode in either mode, using fonts available on your device. A QR code stores the content directly, not a hosted redirect. No destination is opened or verified. This tool does not allocate GS1 numbers or create certified retail or carrier labels.
Match the sheet in millimetres
A4 paper measures 210 by 297 mm. The compact preset uses 63 by 33 mm labels in three columns and eight rows, with 8.5 mm side margins, 16.5 mm top and bottom margins and a 2 mm horizontal gap. The other presets use 90 by 38 mm or 90 by 50 mm labels. These are generic arrangements, not manufacturer-specific templates. Measure your actual stock and enter custom dimensions and gaps when necessary.
Resolve every row error
Blank IDs, unsupported characters, very long text and overly dense codes stop the export. Make an explicit change to the source or choose larger labels, then generate again. Content is not silently shortened and invalid records are not skipped. Longer QR data needs more space; the taller 90 by 50 mm layout is a useful starting point.
Download and test the PDF
The PDF uses A4 pages, physical label dimensions and vector barcode marks. Print at Actual size or 100%, without Fit to page. Start on plain paper, measure a label and align the sheet against your sticker stock. Check the first and last rows. Scan both short and long codes using your intended scanner, and compare decoded values to the source. On-screen decoding does not certify a printer or scanner.
Choose images when another app needs them
The ZIP contains one sequentially named PNG per input record. PNGs are rendered at 300 dpi for the chosen dimensions, but an image editor may ignore physical size: enter width and height manually. Use the PDF for ready-to-print A4 sheets. Cutting borders apply to the sheet PDF and its preview, not the individual PNG labels.
Keep your own working copy
The source and generated files stay in the tab’s memory until you clear or leave. No database, local storage or cloud history is used. Download the source CSV and outputs yourself if you need to repeat the job. Printed labels may expose their contents to anyone nearby; encode only data appropriate for the intended recipients.
